COVID-19 Events and Visitor Information

Amid the ongoing COVID-19 public health emergency, Buffalo State College students, faculty, and staff returning to campus in fall 2020 will find a changed environment, often with limited capacity.  Classes will be offered in multiple formats -- online, hybrid and in person. Students will be living in campus residence halls.  With this repopulation of the campus, a comprehensive plan, the Campus Events and Visitors Protocol, addresses whether, when and how in-person events may be held at Buffalo State.

The goal of establishing this protocol is to protect the health and safety of all of those in our campus community, as well as to ensure compliance with evolving guidance during these trying times. Exceptions will be considered on a case-by-case basis.

The comprehensive guidance consists of the following documents:

Events:

For the purposes of this protocol, events are defined as an occurrence or gathering that is not a regularly scheduled in-person academic class.  Events include in-person meetings scheduled outside of offices and departmentally controlled conference rooms.

  • Events and meetings should be held in virtual format whenever possible. Every effort should be made to find alternatives to in-person events.
  • No off-campus or non-affiliated groups may use Buffalo State facilities to host in-person events at this time.
  • Events hosted by employees: If an in-person event cannot be avoided and must occur, a Campus Events and Visitors Request Form be filled out and be approved in advance.
  • Events hosted by students: Recognized Buffalo State student organizations who wish to host in-person events must receive written approval from the Student Leadership and Engagement Office prior to completing the Campus Events and Visitors Request Form.  Approval must be attached to the Campus Events and Visitor Request Form submission.

Visitors:

Visitors are defined as any off campus or non-affiliated guests.  They are neither students nor employees at Buffalo State College. Service providers and contractors must comply with the COVID-19 Service Provider and Contractor Guidance.

  • Campus visitors must be invited by a campus department. Visitors will be asked to register with their hosting department and conduct a health self-assessment upon entry to campus. Any visitor hosted by a campus department who exhibits symptoms of COVID-19 will be asked to leave campus immediately and report this information to the host department through phone or email.  Host departments must maintain a contact log for visitors. 

 

Campus Events and Visitors Committee

The purpose of the Campus Events and Visitors Committee (CEVC) is to review all event requests, whether submitted by student organizations, campus departments, or non-affiliated organizations. The committee will assess requests based on the criteria detailed in this protocol.

The Campus Events and Visitors Committee is tasked with:

  • Reviewing all submitted event requests using the criteria identified in the CEVP, focusing on institutional impact and risk assessment.
  • Identifying the events that can be safely executed in-person using the approval matrix and risk evaluation guidelines found in this protocol, recommending these events to the Executive Committee for evaluation and approval.

All rules, regulations and guidelines in this protocol are subject to change based on the changing environment and evolving guidance.
