Student Events

The Events Management Office is here to aid you with the processes that are necessary to hold an event on campus.  Buffalo State acknowledges the significant value student organizations have in the educational process.  Recognized student organizations play an important role in developing student leadership and providing a quality campus environment.

In order to exercise the privileges granted to recognized organizations, a student group must register with, and be recognized by, Student Leadership & Engagement. An designated officer of the student organization may reserve and utilize campus space and exterior grounds. To request space in the Campbell Student Union visit the SLE Union Reservation Request page. To request space booked by the Events Management Office (pdf), please complete the Event Management Space Request Form in 25Live (Buffalo State login required, be sure and enable pop-ups if you don't see the Log In button).

Scheduling Tips

  • To request space booked by the Events Management Office (pdf), please complete the Event Management Space Request Form in 25Live (Buffalo State login required, be sure and enable pop-ups if you don't see the Log In button). Instructions are available on the IT Knowledge Base.
  • Completion of the form does not guarantee use of the space requested.  Events should NOT be advertised until receiving written confirmation from the Events Management office.
  • Pending the nature of the event, a minimum of two weeks is required to generate contracts, staffing, signatures, etc. 
  • If a contract is needed Events Management will contact the student event coordinator to schedule an event planning meeting.
  • Contracts with USG organizations require the signature of the USG Business Manager. Contracts with non-USG and Greek organizations require the signature of Associate Director, Student Leadership and Engagement.

Catering

Buffalo State prefers catering services provided on campus are carried out in a safe and healthy manner.  For more information go to Buffalo State Catering.

Equipment

Events Management maintains a small inventory of the following equipment:

Rectangle, round and bistro tables, folding chairs, easels, & floor stanchions

Requesting use of the above equipment is done while completing the Event Application Form. Equipment is loaned on a first-come-first-served basis.

It is the event coordinator's responsibility to see that the equipment is set-up and broken down properly.

Alcohol Policy for Student Organizations

The university community is subject to state and local usage laws.  Specifically, the laws of New York State prohibit anyone under the age of 21 from purchasing alcohol.  Furthermore, it is against the law to serve an underage or intoxicated person.  These guidelines are designed to recognize current laws and to help the campus community apply the laws as we plan and conduct programs.

Specific questions and comments regarding campus regulations and alcohol-related issues or policies  should be addressed with the Dean of Students.
